Fee Refund Policy

MIT University Sikkim has established clear guidelines for fee refund to ensure transparency and fairness in financial transactions.

Refund Categories

Admission Fee Refund

  • Application fee: Non-refundable in all cases
  • Admission fee: Refundable before course commencement
  • Security deposit: Fully refundable upon course completion
  • Caution money: Refundable after deducting any dues

Tuition Fee Refund

  • Before classes start: 90% refund (after deducting processing charges)
  • Within 15 days of class start: 75% refund
  • Within 30 days of class start: 50% refund
  • After 30 days: No refund applicable

Hostel Fee Refund

  • Security deposit: Fully refundable after room inspection
  • Advance fee: Pro-rata refund based on actual stay
  • Mess charges: Refundable for unused portion
  • Room rent: Monthly basis calculation

Refund Timeline

Withdrawal Before Course Start

More than 30 days before: 90% refund

15-30 days before: 80% refund

7-15 days before: 70% refund

Less than 7 days: 60% refund

Withdrawal After Course Start

Within 1 week: 60% refund

Within 2 weeks: 40% refund

Within 1 month: 25% refund

After 1 month: No refund

Special Circumstances

Medical Emergencies

  • Serious illness preventing continuation of studies
  • Medical certificate from registered practitioner required
  • Higher refund percentage may be considered
  • Case-by-case evaluation by refund committee

Family Emergency

  • Death in immediate family
  • Financial hardship due to unforeseen circumstances
  • Job transfer of parent/guardian to different location
  • Documentary evidence required for consideration

University Reasons

  • Course cancellation by university
  • Unable to provide promised facilities
  • Faculty unavailability for extended period
  • Full refund applicable in such cases

Refund Application Process

Required Documents

  • Completed refund application form
  • Original fee payment receipts
  • Bank account details for refund transfer
  • Reason for withdrawal with supporting documents
  • Student ID card and admission letter
  • No due certificate from all departments

Application Procedure

  1. Submit refund application to Finance Office
  2. Obtain clearance from all relevant departments
  3. Submit all required documents
  4. Pay any outstanding dues if applicable
  5. Await refund committee decision
  6. Receive refund as per approved amount

Processing and Payment

Processing Time

Complete Application: 15-20 working days

Incomplete Application: Processing time extended

Special Cases: 30-45 working days

Appeal Cases: Additional 15-20 days

Refund Payment Method

  • Direct bank transfer (NEFT/RTGS)
  • Demand draft in student's name
  • Online payment gateway refund
  • Cash payment (for amounts less than ₹10,000)

Deductions and Charges

Administrative Charges

Processing Fee: ₹500 per application

Bank Transfer Charges: As applicable

Document Verification: ₹200

Late Application Fee: ₹1,000 (if applicable)

Adjustments

  • Outstanding library dues
  • Laboratory equipment damage charges
  • Hostel room damage costs
  • Unpaid mess bills or other dues

Appeal Process

Refund Appeals

Students can appeal refund decisions within 30 days of notification.

  1. Submit written appeal with justification
  2. Provide additional supporting documents
  3. Pay appeal processing fee if applicable
  4. Await decision from appeals committee
